How to Submit a PER Claim

  1. Sign in to PeopleSoft FinancialsFinancials and eTRAC with your CCID and password
  2. Click on Main Menu in the top left navigation area
  3. Click on Employee Self-Service 
  4. Click on Travel and Expense Center 
  5. Under Expense Report choose Create
  6. Select the PER Template for all PER submissions (This includes travel or non-travel expenses)
  7. Select the applicable Expense Type for your claim. Please note: Additional expense lines and the expense date will be available on an upcoming page
  8. Enter the Description as PER, Current Month, Current Year (i.e., PER August 2012)
  9. Note the remaining balance in your account before proceeding. Expenses submitted over the PER balance amount will not be accepted. You can only submit up to your remaining balance in the amount spent field.  PER balances do not update until submitted reports have been approved by HRS
  10. Complete the expense date, amount spent (including GST) and a description of the expenses. The chartfield combination for PER will default  
  11. To add lines to an expense report click the Add button under the details section or click the + sign at the end of the expense line 
  12. If no receipt is available please check the Frequently Asked Questions (FAQ) for what is considered valid proof of payment 
  13. Click on Save
  14. Click on Submit
  15. Please review the agreement and choose OK to confirm or Cancel to return to the expense report to make any changes 
  16. Select the Print Detailed Report link in the bottom right hand side of the page and attach original receipts
  17. Forward the printed expense report and original receipts to the PER Administrator at 2-60 University Terrace, Human Resource Services
  18. To exit this application select Sign Out from the top right hand corner of your browser window
Note: Processing of claims will take approximately 3-4 weeks during the month of November 2017 however further delays could occur if a copy of the detailed report with attached receipts is not submitted to the PER Administrator in a timely manner. Please retain a photocopy of documentation for your personal records; documents will not be returned after processing. You will be notified via email when the direct deposit is made to the financial institution identified in Bear Tracks. 

How to Modify a PER Claim

  1. Sign in to PeopleSoft FinancialsFinancials and eTRAC with your CCID and password
  2. Click on Main Menu in the top left navigation area
  3. Click on Employee Self-Service 
  4. Click on Travel and Expense Center 
  5. Under Expense Report choose Modify
  6. Make changes to expense report
  7. Click on Save
  8. Click the Submit button
  9. Review agreement on page
  10. Click OK to submit the report for approval

How to View a PER Claim

  1. Sign in to PeopleSoft Financials - Financials and eTRAC with your CCID and password
  2. Click on Main Menu in the top left navigation area
  3. Click on Employee Self-Service
  4. Click on Travel and Expense Center
  5. Under Expense Report choose View
  6. Choose the appropriate Search Parameter

How to Delete a PER Claim

  1. Sign in to PeopleSoft Financials - Financials and eTRAC with your CCID and password
  2. Click on Main Menu in the top left navigation area
  3. Click on Employee Self-Service
  4. Click on Travel and Expense Center
  5. Under Expense Report choose Delete
  6. Choose the appropriate Expense Report - The purpose of this function is to delete any duplicate entries

How to view PER Balance and Historical transactions

  1. Sign in to PeopleSoft FinancialsFinancials and eTRAC with your CCID and password
  2. Click on Main Menu in the top left navigation area
  3. Click on Employee Self-Service 
  4. Click on Travel and Expenses 
  5. Click on PER Balance Inquiry
  6. Click View All to see additional transactions
  7. Locate your PER balance at the bottom of the page. Balances do not update until submitted reports have been approved by HRS
  8. Select the Sign Out link located in the top right corner of your browser window
